What a receipt has to show

A receipt is proof a payment was made. Whoever you give it to, it needs to answer five things:

  • The date the money arrived.
  • The amount received, and the currency.
  • Who paid and who was paid.
  • What it was for, in enough detail that it is clear months later.
  • How it was paid: cash, check, card, transfer.

Whether tax has to appear as its own line depends on where you are. New York and Texas require sales tax to be stated separately on the receipt; California does not. If you charge tax, the safe habit is to show it separately.

Receipts that have their own rules

  • Rent. New York and Massachusetts both set out what a rent receipt has to contain, including the period the payment covers. Put the month and the unit in the note field above. Rent receipt template
  • Cash. Nothing confirms a cash payment except the receipt, so it is the one case where both sides usually want a copy. Cash receipt template
  • Deposits. Put what you actually received in "Amount received" and the receipt shows the balance still owed, which is what stops an argument later.
  • Donations. The IRS requires a written acknowledgement for a gift of $250 or more, and it has to state whether the donor got anything in return. A plain receipt is not enough on its own.
