Receipt template
Free cash receipt template
A worked cash receipt: who paid, what for, how much, the method, and the balance. Download PDF, Excel, or Word, free and with no account.
A cash receipt is proof that a payment was made: it names who paid, who received the money, what the payment was for, the date, the amount, how it was paid, and any balance still owed. This is a free, filled-in cash receipt template you can download as a PDF, Excel, or Word file, with no account and no payment. Fill in your own details over the example. The sender block is left blank ("Your business name") because that is the part you complete.

What a cash receipt must include
A receipt only does its job if it can settle a later dispute on its own. These are the fields to fill in:
- •Who paid: the payer's full name. This is the person the receipt protects.
- •Who received the money: your name or business name, and how to reach you.
- •What the payment was for: the goods or service, itemized if there was more than one thing.
- •The date the payment was received, not the date you wrote the receipt, if they differ.
- •The amount, and the currency if there is any doubt.
- •How it was paid: cash, bank transfer, card, check, or money order. This matters most for cash, where there is no bank record on either side.
- •The balance still owed, even when it is zero. Writing "Balance due: $0.00" is what makes it a receipt for payment in full rather than a partial one.
- •A receipt number, so you can find it again and so your records stay traceable.
Already invoiced it? The receipt is one click
A receipt is simply a paid invoice. If you sent the bill through JupiterInvoice, you do not need this template at all: mark the invoice as paid and the same document becomes the receipt, stamped PAID, with the amount and date already on it. Send your client the same link they have always had, or the PDF.
Use the downloadable template above when the money arrived outside any invoice, which is the usual case for a cash sale or rent. Use the product when you billed for the work first and now need to prove it was paid.
Not sure which document you need? Invoice vs receipt explains the difference and when each one applies.
Three ways to use this template
Download the PDF
A fixed, print-ready receipt. Print it, sign it, and hand it over on the spot, which is what a cash payer usually wants.
Download the Word file
An editable document you type over, then print or email. It opens in Word, Google Docs, or Pages.
Download the Excel file
A fully editable spreadsheet whose amount cells use formulas, so the math stays correct as you edit. Useful for keeping a running log of receipts.
