How should a coach invoice corporate clients vs. individual clients?
Corporate clients almost always need: a real legal entity name (not just "John from Acme"), a PO number field, a tax ID on the invoice, wire / ACH details, and Net 30 terms. Individual clients are happier with a card payment link or a simpler invoice. JupiterInvoice handles both: pick the customer record (corporate or personal), and the invoice fields adapt.
How do I invoice for a coaching package upfront?
Add the package as a single line item: "Executive coaching package, 6 one-hour sessions, Q1 2026." The fee is the full package price. If your client's AP wants the sessions broken out, add each session as its own line. Both work.
How do I bill a monthly coaching retainer?
Send a monthly invoice with the retainer as line one, plus any overage sessions or expenses as additional lines. Save it as a draft, duplicate it each month, change the dates and any overage. The base retainer line stays constant.
Can I keep sensitive coaching descriptions off the invoice?
Yes. You write the line description. Generic phrasing like "Coaching services, Q1 2026" is fine for AP. Detailed session notes stay between you and the client. Some coaches use a separate scheduling tool for session content and JupiterInvoice for billing.
Do I need to provide a tax ID on coaching invoices?
If you are a US contractor invoicing US clients above $600 a year, your client will need your tax ID for their 1099. Save it once in your sender profile and it appears on every invoice. International contractors may need different forms; our <a href="/tools/w9-w8ben-picker/">W-9 / W-8BEN picker</a> walks through which form applies.
Can I send invoices in another currency for international clients?
Yes. Each invoice can be issued in any major currency. Each sender profile carries USD, EUR, GBP bank details plus SWIFT and IBAN where applicable. International coaching clients can wire you in their own currency.
How does this compare to Honeybook or Dubsado for coaches?
Honeybook and Dubsado are CRM + invoicing combos starting around $20 to $40 a month. JupiterInvoice is invoicing-only, free, with a far stronger AP / recipient experience. If you need a CRM with proposals, contracts, and pipelines, those tools are a fit. If you just want to send a great invoice and get paid, JupiterInvoice is faster and simpler.
Is JupiterInvoice HIPAA compliant?
No. JupiterInvoice is not currently a HIPAA-compliant tool. Health professionals invoicing for HIPAA-covered services should use a dedicated medical billing tool. Most coaching is not HIPAA-covered, but if your practice is, this is not the right choice.
