What should be on a photography invoice?
A photography invoice should include: your business name and address, your tax ID, the client's billing entity, an invoice number, an issue date, a due date, line items (shoot fee, hours, image licensing, editing, travel, expenses), the license terms (where the images can be used, for how long, and whether the use is exclusive), the total, and your remit-to bank details. How do I bill a deposit and a balance for a wedding or shoot?
Send a deposit invoice (for example, 50% upfront) when you book the shoot. After the shoot, duplicate that invoice, change the line description to "Balance," and send it. Both invoices reference your invoice numbering scheme so the client and AP can match them to the same job.
How do I write image licensing terms on the invoice?
Add a line item with the license terms in the description: "Web license, 12 months, North America, non-exclusive." The fee for that line is the license fee. For commercial work, AP will want the license terms written on the invoice itself, not in a separate contract, because the invoice is what they file.
Can I send invoices to international clients in their own currency?
Yes. Each invoice can be issued in any major currency. Each sender profile carries USD ACH, EUR IBAN, GBP sort code, and SWIFT details so commercial clients in any country can wire you in their currency. Do I need to charge sales tax on photography services?
It depends on your state. Many US states tax tangible photography goods (prints, albums) but not the service. Some tax both.
